 Job Description

You’ll work as part of a team of travel professionals to book travel arrangements for Kainos staff at all locations, including booking flights, hotel and apartment reservations and car hire, consulting with Kainos staff to ensure that all aspects of staff travel are seamlessly arranged.


 

You’ll use your previous knowledge of the travel industry to identify advance travel requirements to promote effective cost management, make recommendations about travel vendors and locations to staff, manage travel costs and project re-charges, and prepare quotations for travellers. You’ll be able to work quickly and proactively as issues might arise to reschedule flights, remedy travel problems and resolve scheduling conflicts, as well as ensuring that all business trips are covered by the Kainos Travel Insurance Policy and that staff are assisted with travel insurance claims.

This role will also require you to take part of the 24 hours Travel support schedule.

 

Job Description:

  • Book travel arrangements for Kainos staff at all locations
  • Consults with Kainos staff to ensure that all aspects of staff travel are seamlessly arranged
  • Prepares quotations for travellers, assist with changes.
  • Follow the correct approval process
  • Resolving travellers’ issues and complaints, escalating when necessary
  • Assists with Travel Insurance claims
  • Liaises with the Admin, Finance and PMO departments in Kainos, when appropriate
  • Understands the Kainos business dynamics
  • Understands the travel industry

Minimum (essential) requirements:  

  • Education to GCSE (Grades A*-C, including Mathematics and English)
  • A minimum of 2 years’ experience working in a business travel environment
  • Good commercial awareness and understanding of project and business dynamics
  • Ability to work to tight deadlines and make sensible decisions under pressure, taking a balanced view of client and traveller demands and Kainos commercials.
  • Knowledge of Microsoft Excel and Word
  • Ability to widen and maintain a network of external contacts.
  • Complies with all confidentiality and non-disclosure policies and/or agreements and ensures security of information at all times.
  • Self-starter, able to work on own initiative with minimal supervision
  • Highly flexible, with willingness to work flexible hours at peak times
  • Amicable and approachable with a mature, non-confrontational style
  • Affable, credible and can communicate effectively with staff and vendors
