Based: Head Office, Springfield Road, Belfast

About this role:

As a Receptionist, you will play a key role in representing the business as the head office’s ‘Front of House’.This is an important role as you will be tasked with creating a welcoming atmosphere for all our stakeholders.Furthermore, there will be an opportunity to develop your skillset by being involved in other aspects of the business that require administrative support.

Duties to include:

  • Meet and greet all stakeholders to our facility in a welcoming and friendly manner.
  • Deal with all telephone enquiries in a professional, efficient manner and redirect all calls to the appropriate person.
  • If anyone is unavailable to take a call, record all details accurately, take a message and send an email to the person concerned detailing the query.
  • Responsibility of the post to include sorting, distributing and utilizing the franking machine for outward bound post.
  • Ensure our stakeholder needs are met in terms of catering, car parking and facilities.
  • Meeting room management; oversee booking schedule and ensure rooms are ready for use.
  • Responsibility for central stationary management; order, issue of and storage of (food/non-food) supplies.
  • Provide support to the senior management team with diary management and travel arrangements.
  • Undertaking any other administrative duty deemed necessary for the success of the business.

  • Strong IT skills: Microsoft Outlook, Word, PowerPoint & Excel.
  • Proven interpersonal and communication skills.
  • A methodical mind, with the ability to prioritise workload.
  • Experience of responding to queries by phone, email and face to face.
  • Experience of gathering data to produce reports.
  • Thorough understanding of confidentiality and discretion.
  • Prior experience in a similar role would be advantageous, but not essential.
