McQuillan Companies is an NI family owned business which incorporates a diverse range of activities including civil engineering, highway maintenance, quarrying, waste management, outdoor cleaning and winter services.

McQuillan Environmental are currently looking to recruit an enthusiastic Lab Administrator for their site in Antrim. 

The purpose of this role is to manage and coordinate customer orders, ensuring all are completed in full and on time; to provide a professional and informed customer service; documentation management and to provide support to sales and lab management. 

Main duties will include (but are not limited to):

Operations:

  • Operate McQuillan’s Lab Information Management System (LIMS) to schedule samples for analysis, manage documents and track project progress
  • Communicate project schedules to customers and laboratory, where appropriate providing updates on progress
  • Approve, publish and distribute accredited analytical reports
  • Manage lab logistics including McQuillan drivers daily, weekly and monthly schedules, external courier services and subcontracted lab couriers
  • Liaise with customers and McQuillan sales team to determine analytical requirements
  • Advise customers on required sample container types and quantities for specific analytical parameters and organise their provision
  • Liaise with subcontracted labs to ensure current and future projects are accurate and delivered on time
  • Prepare samples for analysis or to be dispatched to a subcontracted lab with appropriate paperwork
  • Make analytical calculations for Ionic Balance and Total Metals
  • Make purchase orders for third party services 
  • Write up and distribute lab meeting minutes and agendas
  • Review all lab projects in preparation for invoicing, ensuring prices are correct and relevant fee are added
  • Run invoices for all lab projects 
  • Liaise between subcontracted labs and McQuillan sales team on prices, analytical capacity and service availability 
  • Identify and communicate business/marketing opportunities to the sales team 
  • Maintain daily communcation with McQuillan accounts department on credit status of customers and to resolve outstanding invoice/payment issues 

Customer Service:
 
  • Provide a professional and informed customer service via email, telephone and face to face
  • Resolve customer issues and where necessary escalate to lab management

Quality:
 
  • Be responsible for ensuring that all work is performed in accordance with McQuillan quality policies and procedures and are in accordance with appropriate regulatory guidelines
  • Keep all records and filing up to date and in order as per written standard operating procedure 
  • Ensure that all project information is controlled and distributed as per the relevant standard operating procedure 
  • Review results generated and inform lab management of anomalies, failures or other unusual events and draw conclusions on the work carried out 
  • Ensure that equipment in use has been validated as required 
  • Meet and maintain quality objectives as set by UKAS

Health and Safety 
 
  • Ensure that all activities are performed in a safe manner in keeping with the company’s written procedures 
  • Assist in the safe operation of the Analytical Lab
  • Perform all activities in accordance with written safety procedures 
  • Participate in health and safety training when required 

Training and Development 
 
  • Participate in training as and when required 
  • Attend and engage in appraisals and resolve any issues raised

Qualifications and Experience:
 
  • 2 years’ experience in a busy office environment 
  • Competent in the use of computer software including Microsoft Word, Excel etc
  • Have a minimum of 5 GCSE’s at grade C or above with at least 1 Science discipline 

Working hours are Monday to Friday 8am to 5pm. This role will initially be for a period of 3 months with the possibility of an extension.
