Job Description

Job title: Service Administrator

Reports to: Service Manager

Main Function of the Job:

To provide a call handling service and associated administration duties for all incoming calls to the service department. To take all calls in a professional and courteous manner. To record all essential information accurately. To prioritise calls requiring an immediate emergency response. To schedule all Service Engineers efficiently and effectively for preventive maintenance contracts, service repairs and replacements.

Main Duties and Responsibilities:

  1. Schedule and create work orders for preventative maintenance.
  2. Schedule and create work orders for service repairs and replacements.
  3. Dispatch Engineers to emergency service calls.
  4. Obtain quotations for parts.
  5. Procure parts for scheduled/emergency repairs.
  6. Review generated paperwork and prepare for invoicing by the Service Administrator.
  7. E-mailing worksheets to customers.
  8. Advise the Service Manager of any problems and take appropriate action as directed.
  9. Contribute to the continuous improvement of service provision.
  10. To ensure all service calls are dealt with by the end of the working day.
  11. Any other duties as requested by Management.
