The Procurement & Contracts Manager will be responsible for the management of all contractors within BWUH Ltd, the implementation of procurement procedures for all contracts for BWUH Ltd and the management of any required tender processes.

JOB DESCRIPTION

ROLE:                                  Procurement & Contracts Manager

DEPARTMENT:                      Operations

SALARY:                              £30,000 – £35,000

REPORTS TO:                       Director of Event Operations

DURATION:                          Fixed Term Contract – 1 Year

HOURS OF WORK:                The post holder is required to work 37 hours per week.  This role is event driven and will require some work outside standard hours

 

Main Purpose of Job:

You will be responsible for the management of all contractors within BWUH Ltd, the implementation of procurement procedures for all contracts for BWUH Ltd and the management of any required tender processes.  You must ensure that all contractors meet the goals and values of BWUH Ltd. You must promote a professional image of BWUH to our team, clients and stakeholders and conduct yourself professionally and with integrity at all times.

 

You will develop and manage all allocated contracts, working closely with the in-house teams to agree and control budgets whilst ensuring that the customers’ expectation of an event experience is exceeded.

 

You will be responsible for the development and management of the strategic sustainability project within BWUH Ltd.

 

To be accountable to the Operations Director of the BWUH for the following:

 

Summary of responsibilities & personal duties:

 

  1. Research, launch and manage tenders in accordance with BWUH Ltd procurement policies.

     

  2. To be responsible for the management of all allocated operational contracts.

     

  3. Develop and manage SLAs/KPIs as required.

     

  4. Develop and monitor financial targets for all contractors.

     

  5. Develop, review, implement and monitor KPI’s/SLA’s as required.

     

  6. Oversee the allocation of resources supplied by outsourced providers to ensure they provide an economic, efficient and effective service.

  7. Ensure that the service provided by all contractors is to the highest standard in accordance with the world class venue.

     

  8. Fully utilise all business information systems at BWUH including VEMS to ensure that check lists are developed to ensure high standards of comms and documentation in relation to contractors and health and safety.

     

  9. Provide the Operations Director with accurate and up-to-date statistics and management information with regard to health and safety and contractors performance.

     

  10. Create and develop a culture of innovative, customer focused care within each partner, driven by best in class standards and at all times upholds the brand values of BWUH.

     

  11. To undertake other relevant duties as may be required.

     

  12. To undertake and document audits on all aspects of contractor performance and forward relevant reports as required.

     

  13. Supporting the Senior Management Team in quality and compliance in line with Legislation and with the policies of BWUH Ltd.

     

  14. To develop and manage a sustainability procedures for all contractors, clients and BWUH Ltd personnel and operations.

 

Person Specification:

 

Skills and attributes:

Applicants must have extensive supplier and contract management experience, with a high degree of contract and tender knowledge and a proven track record in purchasing or similar professional discipline, preferably in the hospitality industry.

 

Applications should have excellent communication skills to effectively contribute to and communicate the category strategy and influence at all levels to deliver savings.

 

In addition, applications must be able to assess and tailor information for relevant audiences pinpointing key messages and effectively presenting information in face to face situations and over the phone.

Organised with keen attention to detail – the ability produce accurate finance reports and deliver to deadlines as well as evaluate results and find solutions to challenges.

Influencer and Negotiator – the ability to be a natural influencer and agree the best possible deals. Also the ability to build positive partnerships and use your negotiation skills with suppliers to secure contracts and agreements.

 

Flexibility – Flexible working is essential to this role due to the 24hr nature of the venue.  

 

Essential Criteria:

 

Qualifications and experience

 

  1. At least three years’ experience of successfully directly managing contracts.

 

  1. At least two years’ experience of developing, managing and negotiating tenders for external contracts including developing and managing SLAs.

 

  1. One years’ experience of developing, implementing and managing sustainability systems within a similar size organisation.

 

  1. Strong organisational and time management skills.

     

  2. Flexibility and ability to work on own initiative.

 

  1. A passion for events and service and a hunger to deliver cutting edge and innovative solutions.

 

  1. The ability to manage in a diverse environment with a focus on client and customer service across all spectrums of BWUH Ltd.

 

  1. Excellent interpersonal and influencing skills.

 

Desirable Criteria:

 

Qualifications and experience

 

  1. Have a third level qualification in a relevant subject, Facilities Management, Hospitality Management or Business Management, or equivalent qualification or experience.

     

  2. At least two years experience of devloping health and safety systems and management of these policies.

     

  3. NEEBOSH qualification.

 

  1. Experience of multi-site or large site management within the event/managed services industry.

     

  2. Experiemce of managing cleaing, catering and security.

 

  1. In-depth knowledge of health and safety requirements specifically in entertainment/conference venues.
