Although not a household name, State Street is one of the world’s largest and most important financial services institutions, providing round-the-clock services to the global investment community. We touch $33 trillion in assets every day, and are the world’s third largest investment manager with over $2.8 trillion in assets under management. To do this we manage as much data as one of the internet giants on nearly as large a technical footprint.

In 2018 we opened our first engineering office in Belfast. While this office started small, we have plans for significant expansion into Northern Ireland as part of our new technology location strategy. You would act as a primary support resource for the engineers operating in our office.

This Role

Working as part of the global transformation team, the successful candidate will have responsibility for ensuring the smooth day to day running of the State Street Belfast office.

They will support the local Leadership Team in a fast moving, pressurized environment. The Office Manager is expected to be approachable at all times, self-motivated and enthusiastic, with the ability to multi-task and work independently off their own initiative. The ideal candidate will also be able to define, implement and where necessary, change processes as the office undertakes sustained growth.

Typical tasks would include (but not be limited to):

  • Proactive support of the UK-based leadership team.
  • Conducting reference checks, on-boarding, and carrying out training and induction for new starters.
  • Ensuring that new starters have hardware and system access in place.
  • Liaising closely with Human Resources to communicate and rollout out processes.
  • Generating reports from primary source material (e.g. team plans) to facilitate financial reporting, real estate projections, HR projections etc.
  • Planning and management of recruitment events, meet up groups and other off sites activities.
  • Organise staff training and workshops.
  • Co-ordinating office re-location effort.
  • Ensuring Health and Safety procedures and policies are adhered to.
  • Proactively arranging social events for the office.
  • General office administrative tasks (e.g. Stationery orders.)

Requirements

Successful candidates will have the following skillset:

  • Previous experience in a similar role.
  • Solid IT skills including experience with Microsoft Packages.
  • A proven track record delivering process improvements.
  • Exceptional organisational and time management skills.
  • Strong verbal and written communication skills.
  • Excellent attention to detail.
  • Ability to thrive in a fast-paced environment.
  • Proactive approach and a “can do” attitude.
