Excellent opportunity for Office Administrator based in Belfast.

Title of post: Office Administrator

Location: Novosco Ltd, Belfast

Responsible to: Operations Manager

About us: Novosco was formed in 2007 from a merger with two leading ICT companies in Northern Ireland, Real Time Systems and 4sol Ltd with the Novosco brand name derived from two Latin Words, meaning ‘new understandings’. We have acquired other businesses since then, and are now the market leader in Ireland for Cloud services with a growing presence in the UK. We currently employ around 200 staff in total at the moment, with ambitious growth plans due to ongoing expansion in our market.

Main purpose of the job:

You will be responsible for the day to day running of the office including travel bookings for the company. Full duties are outlined below.

Main Duties and Responsibilities: Essential duties may include, but are not limited to, the following:

  • Organising travel bookings for the company
  • Liaising with facilities on any maintenance issues
  • Managing and recording expenditure on company credit card
  • Answering incoming calls
  • Ordering stock and stationery required for the business ensuring that this is kept at an optimum level
  • Ensuring a first class customer experience when visiting Novosco – providing office tours to our new premises and providing any subsistence required
  • Assisting with administration in relation to ISO accreditations 
  • Any other administrative duties as required.

Education and Experience 

  • At least 2 years administrative experience in a busy office environment
  • Proficient in MS Office, particularly Word and Excel
  • At least 2 A’ Levels or equivalent with GCSE Grade C or above in English and Math.
  • Strong attention to detail
  • Excellent communicator
  • Good organisation skills
  • Strong time management

In addition to the above duties and responsibilities the post holder must be prepared to undertake such additional duties which may result from changing circumstances, but which may not of necessity change the general character or level of responsibility to the post.

Internal training on products and services will be provided. However, staff are expected to consistently keep abreast of new developments, which would impact on their areas of responsibility. Personal training in relation to this job description will be given as part of the company’s overall personnel development program.

Conditions of Employment Salary: The salary and benefits for this position will be determined according to the experience of the person appointed. General Guidance: The nominal working week is 37.5 hours, although a degree of flexibility is both offered and expected. In specific circumstances there may be a requirement to work additional hours.
