Working in the Public Engagement Division, the Donor Services & Outreach Assistant is a member of both the Donor Services and Outreach teams, based in the Trócaire office. The provision of exceptional supporter care is crucial to this role and the ideal candidate will therefore be highly motivated to build and maintain excellent relationships with the full range of Trócaire’s stakeholders. A meticulous, methodical approach to the responsibilities and duties outlined below is crucial.

Reporting to the Donor Services Manager with a dotted line to the Outreach Lead this is a full time fixed term contract of 12 months’ duration and is based in the Belfast Office[1] with frequent travel throughout the region and occasional to Trócaire’s other offices (primarily Derry and Maynooth).

Key Duties & Responsibilities

Deliver high quality outreach to schools, with an emphasis on the post-Lent period; this post will involve significant travel and time out of the office during the months April – June, possibly up to 60%.

As the role involves significant engagement with school i.e. visits and talks, the successful candidate is expected to undergo the PSNI vetting process in addition to following Trócaire’s Safeguarding Policy.

Manage all incoming school visit requests and mass talk requests from parishes during the Lenten period. Working collaboratively with colleagues, volunteers and others to ensure all requests are serviced, monitored and delivered to a high standard.

Deliver logistical support to ensure key Trócaire campaigns are rolled out in the region, including Lent, Trócaire Gift, Committed Giving, Disaster Response and Community Fundraising. Designing and implementing systems to ensure these are delivered on time, and within budget. Take responsibility of managing stock control of related materials.

Support the work of the Donor Services Manager as requested, to include specific responsibilities as follows:

Manage relationships with key third party suppliers, including Mailing and Fulfilment agencies to ensure agreed logistical service levels are delivered to a high standard

Respond to requests from individuals, groups, schools, parishes or companies seeking to raise funds or run events for Trócaire.

Ensure all stakeholder interaction is recorded properly on Salesforce.

Assist the work of the Donor Services team as and when directed, including but not limited to:

Managing relations with community fundraisers, ensuring all community fundraising activity is adequately supported, and to grow support from existing community fundraisers.

Assist the Outreach team in the management of volunteers, and contribute to the ongoing development of Trócaire’s volunteer strategy, ensuring volunteers are adequately supported.

Any other duties that may be assigned from time to time.

– Run regular data quality reports, and provide staff re-training as necessary

– Ensure all materials, resources and written communications distributed in the region are suitable by working collaboratively with colleagues responsible for designing and producing the same

– Operating Reception; greet supporters, direct calls, deal with face to face queries and accept donations from the public, maintaining the highest possible standards of donor care at all times and in accordance with our Supporter Charter

– Timely and accurate preparation and processing of donation batches, recording all donations and related details on Trócaire’s CRM platform, Salesforce, and ensuring prompt acknowledgment

– Preparing batches of donations and making bank lodgments

– Ensure duplicate records are merged

– Dealing with feedback and complaints

Requirements

Person Specification – Essential Requirements

(E) Qualification

A degree in a relevant area

Experience of working in an office environment

Experience of working with a CRM system or database like Salesforce

Experience of working with volunteers

At least two years customer service experience

Good data entry experience

Strong numerical ability and experience of following procedures relating to handling cash. Experience and a strong working knowledge of Microsoft Word & Excel

Minimum one year experience of mobilising the public in different ways to take action on issues.

Experience of delivering presentations/talks/workshops to different audiences
