RSA are currently recruiting for an Office Administrator.

Office Administrator

What this job is really like:
This role involves providing a wide range of administrative and support services to RSANI. Reporting to the Managing Director, you will be responsible for the smooth running and functioning of the Belfast Office. You will have good business and general administration experience. Excellent organisational and communication skills are a must to be successful in this role.

Jobholders are typically responsible for:

  • Assure reception activities to the highest standard, with regard to the fact that as the office representative you will be the first point of contact for all visitors from around the business as well as customers and brokers
  • Manage general communications to the Senior Management Team (SMT) and staff
  • Coordinate SMT meeting agendas and Board meetings, as well as presentation materials for Town Hall meetings, and other meetings
  • Taking meeting minutes as required, follow-up of actions and ensuring managers meet deadlines for submission of required documentation
  • Engage with management and support the preparation for staff events and other engagement activities
  • Liaise with building management and security as appropriate
  • Manages post on a daily basis, incoming and outgoing
  • Answer phones as first point of contact and hand-off as appropriate
  • Managing meeting rooms, and associated requirements
  • Manage office kitchen supplies, travel arrangements, stationery and badge access system
  • Office Health + Safety duties
  • Manage office suppliers such as cleaning company and other third parties as necessary
  • Deal with general office facilities issues such as building issues, printer maintenance, new user telephone set up, mobile phone maintenance and contracts

This role reports to the Managing Director of RSA NI

Jobholder Requirements

  • Ability to carry out all of the duties required, as directed by the Managing Director, in a way which enables the smooth running of the RSA Belfast office
  • Excellent communication and presentation skills
  • Efficient and prompt completion of tasks assigned
  • Experience with Microsoft Outlook, Powerpoint and Excel
  • Based in Belfast
  • Educated to a minimum of GCSE standard, preferably A Level
  • This role reports to the Managing Director of RSA NI
