Data Administrator

My client, a charitable organisation based in Belfast has a fantastic opportunity for a Data Administrator to join their growing team on a 12 month contract. The Data Administrator will be responsible for managing, maintaining and cleansing the data contained within the HR Information System to ensure its accuracy and reliability.


Duties include:

  • To populate, update and amend the Departmental’s Information Asset Register ensuring that all personal data held on individuals is identified and recorded in line with GDPR requirements
  • To review all retention periods for HR records alongside the Business Improvement Specialist and dispose appropriately of any data, both hard and soft copies, held beyond these periods including previously archived data contained with the organizations external offsite storage provider
  • To work with colleagues on implementing and maintaining a structured electronic filing system for HR records
  • To be responsible for the notification and recording of the monthly payroll handover details to the payroll function including sick absence entitlements, contract variations, unpaid leave, maternity/paternity etc in a timely manner
  • To liaise with operational managers in collating up to date and accurate information on staff including leavers, working pattern, salary, etc so that the information contained with the HRIS is reliable and reportable
  • To issue and record on receipt the annual staff personal update forms, along with relevant privacy notices, to ensure the Department meets its obligations in ensuring the notification and accuracy of the personal data recorded on its employees

The Ideal Person:

  • GCSE grade C or above in English and Maths OR Business Administration Qualification

Plus 6 months experience in a data entry role


2 years experience in a data entry/office administrative role

  • Excellent organizational skills
  • Accuracy and attention to detail
  • Good working knowledge of Microsoft Word and Excel
  • Strong communication skills
  • Highly driven and energetic in approach to getting things done
  • Reliable, personable and positive in approach
  • Flexible, ability to multi-task
  • Works well under pressure
